How application information is handled.

This notice explains how Little Hearts Community School collects, uses and protects information submitted through the online application form.

1. What this notice covers

This notice explains how Little Hearts Community School collects, uses and protects personal information submitted through our online application form, in line with South Africa’s Protection of Personal Information Act (POPIA).

2. What we collect

When you apply, we collect information about:

  • The learner, including name, date of birth, gender, home language and health information you choose to share.
  • Parents and guardians, including names, ID numbers, addresses, contact details and relationship to the learner.
  • Affordability, including employment status and supporting documents such as payslips, bank statements or business records.
  • Supporting documents, including birth certificates, ID copies and proof of address.

3. Why we collect it

  • To assess and process the learner’s application for admission.
  • To assess affordability as part of every application before an admission decision is made.
  • To contact you about the application, and in emergencies once enrolled.
  • To meet record-keeping obligations as an early childhood development and school facility.

4. How your information is handled

  • Your application and attached documents are sent directly to the school’s admissions email address.
  • We do not sell, rent or share your information with third parties for marketing purposes.
  • Information may be verified where necessary, for example to confirm a document is genuine.
  • Access is limited to school staff involved in admissions and affordability assessment.

5. Your rights

Under POPIA, you may ask what information the school holds about you or your child, request corrections to inaccurate information, withdraw consent where the law allows, or lodge a complaint with the Information Regulator of South Africa.

6. Admission is not guaranteed

Completing and submitting the application form, including all supporting documents, is the first step in the admissions process. It does not guarantee a place. Applications are reviewed based on availability, requirements and the information provided.
